62. How to Share Customer Success Stories Responsibly

Customer success stories can show how a business, product, or service has helped address a real need. They may strengthen credibility by replacing broad promotional claims with specific experiences. However, a customer’s participation, identity, challenges, and results should never be treated as marketing material without appropriate permission. Responsible storytelling protects the customer while giving audiences accurate and useful information.

Obtain Clear and Informed Permission

Before publishing a customer story, explain exactly how the information may be used. The customer should understand whether the story could appear on a website, in an interview, on social media, in an email, in a video, or in promotional materials.

Written authorization is generally preferable. It should address the use of the customer’s name, company, title, quotations, photographs, logo, results, and other identifying details. If the intended use later expands significantly, seek additional permission.

Customers should not feel pressured to participate because of an ongoing business relationship, discount, service agreement, or request from an influential executive. They should also have an opportunity to review how their statements and results are presented before publication.

Protect Privacy and Confidential Information

A useful story does not require disclosing every detail. Businesses should avoid sharing confidential contracts, financial information, health details, security practices, private communications, or proprietary processes.

Extra caution is necessary when stories involve patients, children, students, legal clients, employees, nonprofit beneficiaries, or people experiencing financial or personal hardship. Applicable privacy laws, professional obligations, contracts, and organizational policies must be followed.

When appropriate, a story can be anonymized. However, changing a name alone may not protect someone if the organization, location, photograph, occupation, or circumstances still make the person identifiable.

Present Results Accurately

A success story should explain the customer’s original need, the solution provided, and the outcome without exaggeration. Claims involving revenue, savings, growth, productivity, health, performance, customer acquisition, or other measurable results should be supported by reliable information.

Clarify the timeframe, circumstances, and customer contribution to the outcome. Avoid suggesting that the business alone produced a result when employees, partners, market conditions, or other factors played meaningful roles.

An individual example should not imply that every customer will experience the same outcome. When appropriate, include a statement explaining that results vary according to circumstances.

Preserve the Customer’s Authentic Voice

Editing may improve clarity, grammar, or length, but it should not change the meaning of what the customer said. Quotations should be genuine, and composite or invented testimonials should not be presented as actual customer statements.

A responsible story should portray the customer as a person or organization with goals and judgment—not merely as proof of the seller’s excellence. Recognizing the customer’s decisions, effort, and achievements creates a more balanced and credible account.
